Does your office chair sink on its own? Causes and how to fix it without buying a new one

It is usually the gas lift. Its internal seals wear out over the years and can no longer maintain the height when someone sits down.

Before replacing it, the lever should be checked. If the chair rises by itself when you stand up and drops suddenly when you sit down, the lever may be holding the gas lift valve open. Sometimes it simply needs adjusting.

It can be repaired without buying a new chair. Replacing the gas lift is usually enough. This part costs between €19.50 and €39 excluding VAT in our catalogue. The frame, mechanism, backrest and base remain in use.

We repair it in Illescas (Toledo), with a 6-month warranty. In Madrid and Toledo, we collect four or more chairs free of charge. In all other cases, you are responsible for return transport costs, unless you bring the chairs to us.

And, if you wish, it can look as good as new. During the same workshop visit, we can reupholster it, inspect the foam, replace the castors and lubricate the mechanisms.

Why does a office chair?

Usually because the gas lift has worn internal seals. Gas passes from one chamber to the other even when no one touches the lever, and the seat gradually sinks under the weight of the person sitting on it. In other cases, the gas lift is working properly and the fault lies with the lever that operates it.

The gas lift is a sealed steel cylinder containing pressurised nitrogen, with a valve at its upper end. Pulling the lever presses the valve button: the gas flows between the two chambers and the seat rises or lowers. When the lever is released, the valve closes and the height locks in place.

The most common reasons why a chair loses height are:

Worn gas lift seals
Over time, they no longer separate the chambers properly, causing the chair to lower slowly while someone is sitting on it.
Valve not closing fully
Wear prevents it from sealing properly, so the seat does not remain at the set height.
Lever or mechanism pressing the valve
A bent lever, a loose mechanism screw or an incorrectly tensioned cable can keep the button pressed without anyone touching it.
A gas lift that is not durable enough for its intended use
In intensive-use or shift-based workstations, a gas lift with a low resistance rating will reach the end of its service life sooner.
Impacts and misuse
Dropping heavily onto the seat or standing on the chair subjects the gas lift to sudden loads.

In an office, it is worth looking beyond the chair that is failing. If the others are the same model and were purchased at the same time, their gas lifts have been in use for the same number of years.

02

How can you tell whether the gas lift or the lever is faulty?

Simply observe how the chair moves. If it lowers slowly while you are sitting on it, the gas lift is faulty. If it rises by itself when you stand up and drops suddenly when you sit down, the valve is open, so check the lever first, as it may be repairable without replacing the gas lift.

To check it yourself:

1. Stand up and release the lever
It should return to its resting position on its own. If it remains raised or is stiff, that is where the problem starts.
2. With no one sitting on the chair, pull the lever
The seat should rise to its highest position. If it does not, the gas lift lacks pressure or the lever is not reaching the button.
3. Sit down without touching anything
If, after a while or by the end of the working day, the seat is lower, the gas lift seals are worn.

Make a note of what you have observed. With this description and a few photos, we can provide an approximate quotation before moving the chair.

03

Can it be repaired without replacing the gas lift?

Only if the fault lies with the lever or mechanism: these can be adjusted or replaced while retaining the gas lift. If the seals are faulty, there is no reliable repair, as the gas lift is a pressurised gas cylinder that is not designed to be opened. The entire unit must be replaced.

You should not attempt to repair it yourself either: the gas lift must not be dismantled, drilled or cut.

Two DIY solutions are commonly suggested: a metal clamp tightened around the gas lift, or a length of PVC pipe split lengthways and fitted around it. Both prevent the seat lower beyond that point. The chair will stop sinking, but the height adjustment will no longer work.

They are a temporary fix, not a repair.

And in a workstation They have another problem: the Royal Decree 488/1997, which regulates work with display screen equipment, requires the height of the seat can be adjusted. ‘Its height must be adjustable,’ the annex states.

A chair with a clamp mechanism no longer meets this requirement, nor does one that sinks, as it fails to maintain the height at which it was set. The same Royal Decree requires employers to take the necessary measures to ensure that working with display screen equipment does not pose a risk to workers’ health or safety.

04

Is it worth repairing, or is it better to buy another one?

It is worthwhile when the frame is sound and the chair is of professional quality. Replacing the gas lift restores height adjustment for less than the cost of an equivalent new chair., while everything else remains fully functional: the frame, mechanism, backrest and base.

Before we begin, we assess each case to avoid carrying out repairs that are not cost-effective. We consider the following:

  • The main frame is in good condition.
  • The chair is of professional quality.
  • An original or compatible spare part is available.
  • The fault is confined to one or more components.
  • You want to keep the same model throughout the office, or there are many units to repair.

The part is not expensive: in our catalogue, a replacement gas lift for office chair costs between €19.50 and €39 excluding VAT. The repair quotation includes the part and labour, and we provide it before starting. If the repair is not cost-effective, we will let you know. For these cases, we offer refurbished task chairs from €69 per unit, excluding VAT.

Repairing also helps prevent waste. The Waste and Contaminated Soil for a Circular Economy Act 7/2022 places prevention at the top of the waste hierarchy and defines it as including ‘extending the useful life of products’. In the environmental product declaration for the New Aeron by Herman Miller (2016), 83 of the 87 kg CO₂e generated over its life cycle are attributable to raw material production. Most of the chair’s carbon footprint comes from manufacturing it, and replacing the gas lift preserves everything else.

How do we replace the gas lift in our workshop?

At our facilities in Illescas (Toledo), we first confirm that the gas lift is faulty, fit a new one in the correct size for your chair and inspect the rest of the chair before returning it. Each unit goes through five steps:

  1. Step 01We confirm the fault

We check how the chair raises and lowers, and inspect the lever and the mechanism of the seat. We only replace the gas lift if it is faulty and you have requested it.

  2. Step 02We select the replacement part

We measure the original gas lift, including its length and travel, and find an equivalent new one: either an original part from the brand or one compatible with your model.

  3. Step 03We remove the old gas lift

It is pressure-fitted into two tapered sockets, one in the base and the other in the mechanism of the seat. We remove it without damaging these fittings.

  4. Step 04We inspect the entire chair

We check the base, castors, mechanisms, armrests, backrest and foam, so there are no other faults waiting to occur.

  5. Step 05We assemble the new one and test it

We fit the new gas lift and check the adjustment, stability, comfort and overall operation of the chair before returning it to you.

Which gas lift do we fit?

For a repair, a new gas lift in the correct size for your model: either an original branded part or a compatible alternative. The relevant European standard for these gas lifts is EN 16955:2017 —in Spain, UNE-EN 16955—, which in Germany replaced the DIN 4550. It specifies the strength and durability tests for the gas lift's tapered tube and includes guidance on selecting the appropriate strength class.

For our refurbished chairs, whenever the original gas lift is not in perfect condition, we fit a new Class 4 gas lift (DIN 4550) with a 2.5 mm outer tube. This principle applies throughout our entire process, Segunda Vida by Factoryoficina: anything in perfect condition is inspected and retained; anything that is not is replaced.

What warranty does the repair include?

The repair comes with a 6-month warranty. Any new parts we fit, such as the gas lift, also come with their own warranty, which varies by product. If the work does not involve any new parts—for example, welding—the repair warranty applies: 6 months.

Frequently asked questions

Why does my office chair?
This is usually because the internal seals in the gas lift have worn out: gas passes from one chamber to another even when no one touches the lever, causing the seat to sink under the user's weight. In other cases, a bent lever or loose screw in the mechanism may keep the piston's valve depressed. The first issue is resolved by replacing the piston; the second by adjusting the lever.
Can a chair that sinks on its own be repaired?
Yes. The piston is replaced with a new one of the correct dimensions for that model, either original or compatible, restoring the chair's height adjustment. At Factoryoficina we carry out this work at our facilities in Illescas (Toledo): we confirm the fault, replace the piston, inspect the entire chair and test its adjustment, stability and operation before returning it, with a 6-month warranty.
How much does it cost to replace the piston in a office chair?
It depends on the model and whether any additional work is required. As a guide, a replacement piston in our catalogue costs between €19.50 and €39 excluding VAT (September 2026). The repair quote includes the part and labour, and we provide it before starting work, based on photos and a description of the fault. If transport is your responsibility, it is charged separately.
What warranty does a chair repair include?
At Factoryoficina, repairs are covered by a 6-month warranty on the work carried out. Any new parts we fit, such as a gas lift, also come with their own warranty, which varies by product. If the repair does not involve new parts—for example, welding—the warranty is 6 months.
Can I replace the gas lift myself?
You can, but it is not as straightforward as it may seem. You need to select a replacement with the correct dimensions and remove a gas lift that is pressure-fitted into two tapered sockets without damaging the base or mechanism. It is also a pressurised gas cylinder: it must not be dismantled, drilled or cut. If you prefer to do it yourself, we stock replacement gas lifts; otherwise, send us the chair.
Can I fit a clamp or PVC pipe to the gas lift?
It stops the chair from sinking, but leaves it at a fixed height, so it can no longer be adjusted. It is a temporary workaround, not a repair. For workstations with a screen, Spanish Royal Decree 488/1997 also requires the height of the seat to be adjustable, so a chair fitted with a clamp no longer meets this requirement. The long-term solution is to replace the gas lift.
Do you collect chairs for repair?
In Madrid and Toledo, we collect four or more chairs free of charge. We can also collect them elsewhere in Spain, but the customer must pay for return transport, as is also the case for fewer than four chairs sent to us. You can always bring them to our premises in Illescas (Toledo) free of charge. Subject to availability, we provide courtesy chairs while the repairs are being carried out.
Can you reupholster the chair while replacing the gas lift?
Yes. If, in addition to the mechanical fault, the fabric is worn or the foam has become misshapen, we can complete the work with our upholstery service: mechanism inspection, new, castors , foam inspection, professional-grade fabric, lubrication and full cleaning and sanitisation. The chair leaves our workshop repaired and refreshed after a single visit.
